What we collect when you source parts through SupplyWorks, who sees it, and what you can ask us to do with it.

Last updated 24 October 2026

Sourcing parts means sharing part numbers, quantities and delivery details with the distributors who hold the stock. We keep that exchange to the minimum an order needs, and this page sets out exactly what that means.

01

What this policy covers

SupplyWorks is a sourcing desk for electronic components. Buyers search live distributor stock and price breaks, compare the offers that matter and place orders with us. We source the parts from authorised distributors and manage the order through to delivery.

This policy explains what we collect when you use the platform, why we collect it and what you can ask us to do with it. It covers the storefront, your account area and the emails we send about your orders.

02

Information we collect

We collect what a sourcing desk needs to price and supply parts:

  • Account details you give us: name, company, work email, phone number and the delivery address saved on your company profile.
  • Order records: part numbers, quantities, the distributor offers you chose, prices, lead times, purchase order references and the notes you send us.
  • Files you upload: BOM spreadsheets and any document you attach to an order or a note.
  • Usage and technical data: the parts you search, the pages you open, and a short-lived counter held against an IP-derived identity so anonymous search allowances cannot be abused.
  • Session data: a sign-in cookie, plus the order basket and comparison list kept in your own browser storage.
03

How we use your information

We do not sell personal data and we do not build advertising profiles. We use it to:

  • Run your searches against live distributor feeds and show the offers that match.
  • Confirm stock and pricing, and place the order with the supplying distributor.
  • Share only what an order needs with the distributor supplying the parts and the logistics partner delivering to you.
  • Answer your questions from the sourcing desk and keep you informed about the orders you have with us.
  • Protect the platform: rate limits, abuse prevention and keeping the service reliable.
04

Who we share it with

We share the minimum needed to supply and deliver:

  • Authorised distributors and manufacturers, so they can confirm stock and price and supply the parts.
  • Courier and logistics partners, for delivery to the address on your order.
  • Service providers that run the platform: hosting, distributor stock data, email delivery and site analytics. They act on our instructions.
  • Where the law requires it, or to establish or defend a legal claim.
05

BOM files and attachments

Files you upload are stored privately and are never given a public web address. They are open to you and to the sourcing desk members handling your request, and shared with a distributor only where matching the parts requires it. Ask us and we will delete an upload once the request is closed.

06

How we protect it

Access to buyer records is restricted to the buyer who owns them and to the sourcing desk. Uploaded files are held in private storage and opened through links that expire. We keep the platform and its dependencies up to date and limit what each part of the system can reach.

07

How long we keep it

Order records stay on your account while it is active, so you can re-order and track history, and afterwards for as long as accounting, tax and dispute rules require. Uploads are removed on request or when the related order closes. Search counters reset with each allowance window.

08

Your choices

Requests go to the sourcing desk and we answer them within a reasonable period. You can:

  • Correct or complete your company profile yourself, at any time, from your account.
  • Ask us to delete an uploaded file, close your account, or remove order history we are not required to keep.
  • Ask for a copy of the account and order data we hold about you.
  • Tell us if you believe we hold information about you that should not be there.
09

Changes to this policy

When the way the platform handles data changes, we update this page and the date at the top of it. Material changes are also flagged on your account.

Questions about your data?

The order desk handles privacy and account questions. Raise a request from your account, or reply to any order email we have sent you.
